The Challenge

The firm was operating on an outdated legacy email system with strict mailbox size limits, no multi-factor authentication (MFA), and high costs relative to the limited features provided. The environment consisted of 100 inboxes supporting 75 users, making downtime and data integrity a major concern. Any disruption during business hours would directly impact legal operations, so a seamless migration was critical.

The Solution

We planned and executed a full email migration to Microsoft 365 with minimal business disruption. Key steps included:
  • Full data backup of all 100 inboxes prior to migration to ensure zero data loss
  • Coordination with firm management to identify the optimal cutover window
  • A planned overnight migration to avoid operational impact during business hours
  • Weekend on-call support immediately following the cutover
  • Live support on Monday for all 75 users returning to work
  • Clear step-by-step documentation for reconfiguring email on desktops and mobile devices
We also implemented a structured user validation process. On go-live, we proactively contacted users to confirm functionality. For employees on PTO or unavailable, we tracked follow-ups and did not consider the project complete until every user was reached and successfully reconnected.

By Thursday of the same week, 100% of inboxes and all 75 users were fully migrated and operational across all devices.
